Times on registrations

The Times on registrations constraint lets employees give their registrations on activities a from–to as well as their hours, so the timesheet shows not only how long they worked on something but when.

When to use

Use this constraint when:

  • Employees, or the people approving their timesheets, want to see when in the day each piece of work was done
  • Some activities must always say when they happened, such as a call-out (set those activities to require a time, see Configuration)

You don’t need it for overtime whose cost goes on the work it was earned on: an allowance policy with Cost placement turns times on registrations on for its own employees by itself.

Parameters

This constraint has no settings. It can only be added under Blocking constraints .

It needs check in/out, so it can’t be combined with Check in/out not used: the policy editor refuses a policy with both.

How it works

For everyone the policy applies to, each registration on a work activity can carry a from–to in the day view: typed next to its hours, or by dragging the activity onto the Your day timeline.

  • Optional. The hours alone stay enough. A registration can be partly timed: the part with a from–to shows as a block on the timeline, the rest stays as hours.
  • A time never changes the hours. Giving a registration a from–to takes those minutes out of its hours without a time, so the day’s total stays the same. Only changing a duration, an end time or the edge of a block changes the hours.
  • Inside the check-ins. A timed registration counts only the time it shares with the day’s check-ins. It skips the time between two check-ins and the unpaid lunch break: 15:30–18:30 with check-ins 08:00–16:00 and 18:00–20:00 is 1 hour.
  • No check-ins, no limit. On a day without any check-in, a from–to can be any time of the day, for employees who register their time without checking in.
  • The grid shows hours. On the timesheet grid a timed registration counts as its hours, like any other.

Errors on the day

Where times are turned on, these are checked on every day and block submitting the timesheet until they are fixed:

MessageCause
Registration outside the check-insOn a day with check-ins, part of a timed registration is before the first check-in or after the last check-out. Check in for it, or move it inside
Overlapping registrationsTwo timed registrations share the same time. Move one
Time missing on an activity that needs oneAn activity that requires a time has hours without one

Configuration

Each activity decides whether its registrations take a time, under Registration time on the activity:

SettingEffect
Optional from–toThe default. A registration can take a from–to, or not
No from–toNever takes a time, such as an activity registered only as hours
From–to requiredEvery registration on it needs a from–to, such as a call-out

The setting only takes effect where times on registrations are turned on, by this constraint or by an allowance policy with cost placement.

Examples

Turn times on for one group

  1. Go to Settings › Policies, click Add Policy and select Work Time Policy
  2. Name it something like Times on registrations, and leave the norm, the other constraints and the auto-registrations empty
  3. Under Blocking constraints , click Add Plugin and choose Times on registrations
  4. Under Availability , choose the org units or employment terms it applies to
  5. Click Save

Troubleshooting

IssueSolution
The policy can’t be savedIt also has Check in/out not used. Times live inside the check-ins, so the two can’t be combined
An activity shows no time fieldsIt is set to No from–to , or it inherits that from the group above it
The timeline shows no blocksThe timeline appears once the day has a check-in. Without check-ins there is no time to place a registration in
