No work beyond norm during time off
The No work beyond norm during time off constraint flags work recorded on a day that carries time off, once that work goes past the working time the time off leaves.
When to use
Use this constraint when:
- Employees on vacation or other leave should not work, and you want it reported when they do
- Employees on a half day off may work the other half, but not more
Parameters
This constraint has no settings. Whether a breach blocks timesheet submission or only warns depends on whether you add it under Blocking constraints or Non-blocking constraints .
How it works
On each day up to and including today that has time off, mTime works out how much working time the time off leaves:
- Start from the day’s norm, after public holidays are taken out.
- Subtract the time off. What is left is the working time the employee may still put in that day.
- Any work recorded beyond that is flagged.
So a full day off leaves no room: any work on it is flagged. A half day off leaves the other half: the employee may work up to that, and only the minutes beyond it are reported.
- Both time off requests and time off registered directly on the timesheet count. A request still awaiting approval counts too, so a day the employee asked for and then worked is reported.
- Days without time off are not checked, and neither are days without a norm — weekends, days off in the work pattern, and full public holidays.
- On a day that is half public holiday and half time off, the holiday already takes its half of the norm, so the time off uses up the rest and any work is flagged.
- Days after today are not checked.
What the employee sees
The day is marked on the timesheet, and the period overview shows a message such as Worked 1 hour 15 minutes beyond norm during time off; only 3 hours 45 minutes of norm remained on this day.
The rule also changes what employees see when they check in on a day they have time off.
Checking in during time off always asks the employee to confirm. With this rule on and a full day off, the dialog additionally warns that the day will be reported on their timesheet. It does not stop them registering the work — the breach is reported where breaches belong, on the timesheet, rather than leaving someone at work with no way to record it. A partial day is unaffected: the rest of the day is still working time, and only the minutes past it are flagged.
The dialog never offers to end a vacation, with or without this rule; only sick leave can be ended from there. Everything else is changed on the employee’s own time off page.
The dialog only considers approved time off, while the timesheet check also counts requests awaiting approval. On a day with a pending request, the employee is therefore not warned when checking in, but the day is still flagged on the timesheet.
Examples
No work on vacation days
- Add the No work beyond norm during time off plugin under Blocking constraints
An employee with a full vacation day checks in and works 2 hours. The day is flagged, and the timesheet cannot be submitted until the work is removed or the vacation is changed.
Half day off
The same policy, with a 7.5-hour norm. An employee takes the afternoon off (3 hours 45 minutes) and works 5 hours in the morning. The time off leaves 3 hours 45 minutes of working time, so the extra 1 hour 15 minutes is flagged.
Troubleshooting
| Issue | Solution |
|---|---|
| The employee was not warned when checking in | The check-in warning only appears for a full day of approved time off. The timesheet check still applies |
| A partial day off is flagged | Only the work beyond the rest of the norm is flagged. Reduce the work, or shorten the time off |
