Mandatory Time Registration
The Mandatory Time Registration constraint requires at least one time registration on every working day. Unlike the built-in check, a check-in does not count: the employee must register time on an activity.
When to use
Use this constraint when:
- Time registrations are your only record of what employees worked on, and every working day must have one
- Employees check in and out, but you also need them to say what they worked on
Parameters
This constraint has no settings. Add it under Blocking constraints to stop the timesheet being submitted while a day has no registration, or under Non-blocking constraints to show a warning only.
How it works
For each day up to and including today, the constraint flags the day when all of the following are true:
- It is a working day. The employee has working time planned that day, after public holidays are taken off. Weekends, days off in the work schedule and full public holidays are skipped.
- Approved time off does not cover the whole day. A full day off is skipped; a half day is not.
- The day has no time registration. Any registration counts, whatever its activity or length — including one added automatically by an auto-registration plugin. Check-ins do not count.
Future days are never checked.
What the employee sees
The day shows the message No time registrations recorded for this working day. on the timesheet. On a blocking constraint the timesheet cannot be submitted until the day has a registration, or time off covers it.
How it differs from the built-in rule
Every timesheet already has a built-in rule: a working day must have either a check-in or registered work time. That rule treats a check-in as enough. This constraint does not — it insists on a registration even when the employee checked in.
| Built-in rule | Mandatory Time Registration | |
|---|---|---|
| A check-in alone | Passes | Flagged |
| Only a non-work registration, such as a lunch break | Flagged | Passes |
| Can be turned off | With Allow missing registration | Remove the constraint |
Allow missing registration turns off only the built-in rule. If a policy has both, this constraint still applies.
Related constraints
- Mandatory Check-in — the same check for check-ins. Add both to require a check-in and a registration every working day.
- Attendance Matches Registrations — goes further and requires the registered time to equal the checked-in time.
- Auto-registration plugins — Auto-register norm time and the fill plugins create registrations automatically. Those count, so a day they fill is not flagged.
Examples
Office staff who check in at the door
Employees check in at a kiosk, but payroll needs to know which project they worked on:
- Open the work time policy
- Under Blocking constraints , click Add Plugin and choose Mandatory Time Registration
- Click Save
An employee who checked in from 08:00 to 16:00 on Monday but registered nothing sees the message on Monday and cannot submit until they register time on an activity.
Troubleshooting
| Issue | Solution |
|---|---|
| A day with only a check-in is flagged | Expected: this constraint needs a time registration. Remove it if a check-in should be enough |
| A day is not flagged although the employee typed nothing | An auto-registration plugin filled the day, or approved time off covers it |
| Days are still flagged after adding Allow missing registration | Allow missing registration does not turn off this constraint. Remove this constraint for that group instead |
