Mandatory Check-in

The Mandatory Check-in constraint requires employees to check in at least once on every working day. A working day with no check-in at all is flagged on the timesheet.

When to use

Use this constraint when:

  • Physical presence must be recorded — at a kiosk, on the dashboard or in the app — for compliance or payroll
  • Entering hours on the timesheet is not enough on its own: you want a check-in as well

Parameters

This constraint has no settings. Add it under Blocking constraints to stop the timesheet being submitted while a day is missing a check-in, or under Non-blocking constraints to show a warning only.

How it works

For each day up to and including today, the constraint flags the day when all of the following are true:

  1. It is a working day. The employee has working time planned that day, after public holidays are taken off. Weekends, days off in the work schedule and full public holidays are skipped.
  2. Approved time off does not cover the whole day. A full day of vacation or sickness is skipped. A half day off is not: the employee still has to check in for the other half.
  3. There is no check-in on the day. One check-in is enough, even one that has not been checked out yet. How long the employee was checked in does not matter.

Future days are never checked.

What the employee sees

The day shows the message Missing check-in/out for this working day. on the timesheet. On a blocking constraint the timesheet cannot be submitted until a check-in is added for that day, or time off covers it.

Note that today counts too: until the employee checks in, today carries the message.

Related constraints

  • Check in/out not used — never combine the two. That constraint refuses new check-ins, so this one could never be satisfied.
  • Mandatory Time Registration — the same check for time registrations. Add both to require a check-in and a registration on every working day.
  • Attendance Matches Registrations — checks that the time registered equals the time checked in. It skips days with no check-in, so pair it with this constraint to also catch days nobody checked in.
  • Allow missing registration — turns off a built-in rule, not this one. This constraint keeps flagging days without a check-in either way.

Examples

Kiosk workplace

A production site where every employee checks in at a kiosk:

  1. Open the work time policy for the site
  2. Under Blocking constraints , click Add Plugin and choose Mandatory Check-in
  3. Click Save

An employee who forgot to check in on Tuesday, and has only entered hours, sees the message on Tuesday and cannot submit the month until a check-in is added for that day. A Wednesday with a full day of approved vacation is not flagged.

Troubleshooting

IssueSolution
A weekend or holiday is not flaggedOnly working days are checked: days with planned working time left after public holidays
A day with time off is still flaggedThe time off covers only part of the day. The employee must still check in for the rest
Today is flagged before the employee arrivesToday is checked like any other day; the message goes away once they check in
