Yearly With Eligibility

The Yearly with eligibility plugin grants a fixed number of days once a year, on the 1st of a month you choose. New employees can also receive a one-time grant when they have completed a qualifying period.

When to use

Use this plugin when:

  • New hires receive a first grant only after a qualifying period (for example 9 months)
  • After that, everyone receives the same number of days every year on a fixed date

The plugin does not prorate: part-time employees and those who join mid-year receive the full number of days. If you need that, use Yearly accrual instead.

Parameters

ParameterDescriptionRequired
DaysDays granted — both for the one-time eligibility grant and for each yearly grant.Yes
Eligibility (Months)Months after the employment start at which the one-time grant is made. Set to 0 to skip it.Yes
Accrual MonthMonth in which the yearly grant is made, always on the 1st of that month.Yes

How it works

  1. Eligibility grant. When the employee has been employed for the set number of months, they receive the days once, on that exact date. With Eligibility (Months) set to 0, there is no eligibility grant.
  2. Yearly grant. From then on, the days are granted every year on the 1st of the Accrual Month . The qualifying period has to be complete before that day: if the eligibility date (or, with 0 months, the employment start) falls on or after the 1st of the accrual month, the first yearly grant moves to the following year.
  3. Leaving. No grants are made after the employment ends.

Example

Hired on 1 November 2025, with Eligibility (Months) 9, Accrual Month September and Days 5:

DateGrant
1 August 2026+5 days (eligibility grant, 9 months after the start)
1 September 2026+5 days (first yearly grant)
1 September 2027+5 days
…+5 days every 1 September

Troubleshooting

IssueSolution
Two grants close together in the first yearExpected: the eligibility grant falls on the qualifying date and the first yearly grant on the next 1st of the accrual month. Set Eligibility (Months) to 0 if new hires should only receive the yearly grant.
The first yearly grant came a year later than expectedThe qualifying period was not complete before the 1st of the accrual month. Someone hired on 1 September with September as the accrual month and no qualifying period receives their first yearly grant the following September.
A part-time employee received the full amountThis plugin does not prorate. Use Yearly accrual with Prorate by working hours turned on.
