Going live
Set up your workspace in peace, then choose the date mTime starts working for real.
Overview
A new workspace starts in draft. Draft is a safe place to configure: you can add employees, build your organisation structure, and set up policies without mTime generating anything for your employees to act on. No timesheet periods to approve, no reminders, no accruals.
A banner across the top of every page tells you the workspace is still in draft, and links to the setting that ends it.
The workspace goes live on its start date. Setting that date is the go-live action — there is no separate button. From the start date onward, mTime runs normally.
How it works
While the workspace is in draft:
- Nothing is recorded before the start date, so no employee can register time in the setup period.
- The scheduled work that would create obligations stays off — timesheet approval periods, reminders, accrual runs, and payroll exports.
- Setup keeps working normally. Importing employees, syncing them in from your HR system, and everything you configure by hand are all unaffected.
Once the date arrives, mTime begins generating timesheet periods, reminders and accruals, counting from that date and not before it.
Set the go-live date
- Go to
- Find the Workspace Start Date setting
- Pick the date the workspace should go live
- Confirm when mTime asks — this is the moment the workspace goes live
- Click Save
Pick the date your organisation genuinely starts using mTime — typically the first day of a month or of a payroll period. Nothing can be recorded before it, so a date earlier than your real start is safer than a later one if you are unsure.
Changing the date afterwards
You can move the start date to another date at any time. mTime asks you to confirm, because the date decides what employees can record and what mTime generates.
You cannot clear the start date of a workspace that has gone live. Removing it would take a running workspace back to draft: its scheduled work would stop, and the floor that keeps registrations out of the months before go-live would disappear.
Test workspaces are the exception — their start date can be cleared, so a demo workspace can be reset and taken through the go-live flow again.
Troubleshooting
| Issue | Solution |
|---|---|
| The draft banner is still there after setting a date | The date is in the future. The workspace goes live on that date; the banner names it. |
| Employees cannot register time in the setup period | This is intended. Nothing can be recorded before the start date — move the start date earlier if your real start was earlier. |
| No timesheet periods appeared after go-live | Periods are generated from the start date onward by a scheduled job, not instantly. Give it until the next daily run. |
| The start date cannot be removed | Only a draft or test workspace can have its start date cleared. A live workspace must keep one. |
