Fixed date

On the same day every year, sends the advisory to every employee in the advisory’s Employees section.

“Every 1 March, remind everyone to submit their expense reports.”

When to use

Use it for a yearly reminder that belongs to a date and applies to everyone it covers, whatever their data: the start of the vacation planning season, a yearly deadline, a date in the collective agreement.

If only some employees should be reminded — those with too much flex left, for example — use Scheduled balance check instead. It fires on a date too, but only for the employees whose balance passes a threshold.

Parameters

ParameterDescriptionDefault
MonthThe month the advisory is sent in, 1 (January) to 12 (December).—
DayThe day of the month the advisory is sent on, 1 to 31.—

A date that never exists, such as 30 February or 31 April, cannot be saved.

How it works

On the chosen date, mTime sends the message to every employee covered by the Employees section with an active employment. There is no further condition: everyone in the audience is included.

Each date sends at most one email per employee per recipient, once a year. If the nightly check could not run on the day itself, it still sends for up to three days afterwards, and the catch-up does not duplicate a message that already went out.

29 February is allowed, but the advisory is then only sent in leap years. It does not move to 28 February or 1 March in other years.

Message

The trigger’s standard message reads:

Reminder from {workspace_name}

Hi {employee_name},

This is your reminder for {date}.

The standard message says little on purpose. In practice you will want to turn off Use the trigger's standard message and write what the reminder is about.

Available variables: {employee_name}, {workspace_name} and {date}. This trigger adds no variables of its own. {date} is the day the email is sent, which is normally the chosen date, or a day or two later if the email went out in the catch-up.

Examples

Vacation planning reminder

  1. Add an advisory and select the Fixed date trigger
  2. Set Month to 2 and Day to 1
  3. Under Employees, choose Everywhere or the org units concerned
  4. Turn on Employee as the recipient
  5. Turn off Use the trigger's standard message and write a text asking employees to plan their summer vacation before 1 March

Troubleshooting

IssueSolution
Nothing was sent on the dayCheck the activation window on the advisory, and that the Employees section covers someone. A new advisory covers nobody until you set it.
The message does not say what the reminder is aboutThe standard message is generic. Turn off Use the trigger's standard message and write your own.
Nothing was sent this year for 29 FebruaryExpected outside leap years. Choose 28 February or 1 March for a reminder every year.
A new employee did not get this year’s emailThe email goes to the employees in the audience on the date it is sent. Someone who joins later is included from next year.
