Advisory emails

See which advisory emails mTime sent, to whom, and why anyone did not get one.

Overview

Advisories send email when a condition is met — an employee off sick for three days, a timesheet with nothing registered, a balance about to expire. This report is the record of what that produced.

There is one row per recipient: an advisory that writes to the employee, their manager and an external address produces three rows for the same firing. Each row shows:

  • Date the email was sent, or last attempted
  • Advisory that fired
  • Subject exactly as it was sent
  • Employee the advisory is about — not necessarily the person who received it
  • Recipient address, and its Recipient type : employee, manager or external
  • Status , and a Reason when the email did not go out

Navigate to Reports › Advisory emails in the sidebar. From a single advisory’s settings page, View sent emails opens this report already filtered to that advisory.

Subject and Recipient are hidden to begin with, so the columns that answer “did it go out, and why not” fit the width of the table. Switch them on with the column button above the filters; your choice is remembered.

Why someone did not get an email

This is what the report is for. A row with the status Not sent carries the reason:

ReasonWhat happened
No email addressThe employee has no email address on file, so there was nowhere to send it
No reachable managerThe employee has no manager, or their manager has no email address
Address suppressedThe address previously bounced or reported mTime as spam, so mTime stopped writing to it
Send failedThe email provider rejected the message

mTime keeps trying. A leg that was not sent is attempted again on each daily run, and the day the underlying problem is fixed — an address filled in, a manager assigned — the email goes out and appears as Sent . A problem that persists is not repeated as a new row every day; the existing row’s date moves forward instead.

Delivery status

A row marked Bounced means the email provider told us that particular message could not be delivered — usually a mailbox that no longer exists, or a recipient who marked the message as spam.

A row without a bounce means no bounce was reported. It is not a delivery receipt: mTime can tell you that a message was accepted by the email provider and that nothing came back, but not that it reached someone’s inbox or that they read it.

To see only these rows, pick Bounced in the Status filter. The summary above the table also says how many of the sent emails bounced.

What is not stored

Only the subject line is kept, never the body of the message. No part of this report can show what an advisory email said beyond its subject, and that is deliberate — advisory emails can concern sensitive matters such as sickness, so their contents are never written to the database.

Send records are kept for as long as the employee they concern. When an employee is deleted under your data retention settings, the advisory emails about them are deleted too.

Filtering

Alongside the common filters — period, org unit, manager and employment terms — this report filters by Advisory , Recipient type and Status . The period covers the date the email was sent or last attempted.
