Recycle bin

Bring back employees, settings and other items deleted in the last 30 days.

Overview

When you delete something in mTime — an employee, a policy, a user, a kiosk — it is not removed straight away. It goes to the recycle bin, where it stays for 30 days. During that time you can restore it exactly as it was.

Go to Admin › Recycle Bin. The list shows the most recently deleted items first, with:

ColumnShows
NameThe item’s name
TypeWhat kind of item it is, for example Employees or Time Off Policies
Deleted byWho deleted it, when known
DeletedWhen it was deleted, with how long ago

Use the Type and Deleted by filters to narrow the list, and Reset to clear them.

What you see depends on your role

The recycle bin lists only the items you are allowed to restore. The menu entry appears for anyone who can restore at least one kind of item.

RoleItems
HR AdministratorEmployees , Org Units , Projects and Bulk Changes , and the settings under Settings: Activities , Activity Lists , Advisories , Allowance Policies , Dimensions , Employment Terms , Holiday Calendars , Reasons , Settlement Policies , Time Accounts , Time Off Policies and Work Time Policies . Also payroll integrations (Dataløn, Intega Løn, the payroll file).
Workspace AdministratorUsers , Roles , Kiosks and other Integrations .
OwnerEverything above, plus deleted passkeys and linked sign-in accounts, which only the owner can restore.

Shared report presets can be restored by whoever administers shared presets.

How it works

Restore an item

  1. Go to Admin › Recycle Bin.
  2. Find the item, using the filters if needed.
  3. Click Restore in its row.
  4. Confirm in the Restore Item dialog.

The item disappears from the recycle bin and is back where it was.

What restoring brings back

Restoring puts the item back as it was when it was deleted — its settings, its links and its history. The item’s version history shows that it was restored.

  • An employee comes back with their employments, registrations, balances and history. Deleting an employee doesn’t remove those, it only hides them, so nothing is lost if you restore within 30 days.
  • A holiday calendar applies again to the employees it covered, and their working norms are recalculated.
  • A user comes back with the roles they had. You can only restore a user whose roles you are allowed to assign yourself.
  • A kiosk comes back with its settings.

Each item is restored on its own. If you deleted several related items, restore each of them.

After 30 days

An item deleted more than 30 days ago leaves the recycle bin and can no longer be restored.

Employees are then permanently deleted: their record, time registrations, balances and history are removed, and their linked user is anonymised. This applies to every deleted employee, whether an administrator deleted them or employee data retention did. Permanent deletion cannot be undone.

Troubleshooting

IssueSolution
A deleted item isn’t in the listIt was deleted more than 30 days ago, it has already been restored, or your role can’t restore that kind of item (see the table above). Ask an administrator with the right role, or the owner.
The Recycle Bin is not in my menuYour role can’t restore any kind of item.
Failed to restore item for a userThe user’s employee has been given to another user since, or the user has a role you aren’t allowed to assign. Ask the owner.
A deleted role is gone from the list before 30 daysSomeone created a new role with the same name. That reuses the deleted role, which is no longer in the recycle bin.
Deleted by shows a dashmTime doesn’t know who deleted the item, for example because it was deleted automatically.
A permanently deleted employee is needed backIt can’t be undone. Re-create the employee, or re-import them from your HR system.
