Workspace settings

Set your workspace’s name, languages, timezone and countries, and decide who can sign in, when the workspace goes live and how long employee data is kept.

Overview

Admin › Workspace holds the settings that apply to the whole workspace. The page has three sections — General Settings , Defaults and Access & lifecycle — and, for the owner, a Danger Zone .

Changes save automatically. There is no Save button: a setting is saved as soon as you change it, and a confirmation appears briefly. The name and website save when you pause typing or leave the field.

A few changes are confirmed first because they affect everyone: turning on automatic user provisioning, setting the workspace start date, and restricting sign-in to one provider.

Who can change the settings

The Owner and Workspace Administrators can change everything on the page except deleting the workspace, which only the owner can do. The Read-Only role can open the page and see the settings, but not save changes. The HR Administrator role has no access to this page.

A setting that cannot be changed right now is greyed out, with the reason underneath — for example User provisioning is managed by the SCIM provisioning integration.

Version history

Click View History at the top of General Settings to open Settings History , which lists earlier versions of the workspace settings with who changed them and when.

Configuration

General Settings

Your workspace’s name, look, language and where it works.

SettingWhat it affectsDefault
Workspace NameThe name shown throughout mTime, for example in the workspace selector. It can’t be empty: if you clear it and leave the field, the saved name comes back.Set when the workspace was created
WebsiteYour company’s website address, kept for reference.Empty
Workspace iconThe image shown next to the workspace in the workspace selector. Use Upload icon to add one (PNG, JPEG, WebP, GIF or SVG, at most 1 MB) and Remove to go back to the standard icon.None
Primary languageThe language the workspace works in. Emails go out in this language to users who haven’t chosen a language themselves, and it is the fallback whenever something has no translation in a reader’s language — for example an activity name. Choices: English, Dansk, Français, Italiano, Nederlands, Norsk, Svenska.English
Other languagesThe other languages your activity and time account names are kept in. Translation fills in these languages and no others. Leave it empty to keep names in the primary language only.Empty
TimezoneWhich calendar date a time registration belongs to. Choose your main office’s timezone.Europe/Copenhagen
Work countriesThe countries employments and org units may be in. With exactly one country, it becomes the default work country.Empty

Other languages

Under Other languages , mTime suggests the languages your users already read mTime in, after Your users read mTime in: , with the number of users for each. Click a suggestion to add it.

When you add a language, the page tells you which activities and time accounts are not translated into it yet, with a Translate them link to the activities page. Nothing is translated until you follow the link and review the result. See Activity and time account names in several languages.

Work countries

mTime refuses to remove a country that employments or org units still use. Move them to another country first.

Defaults

Settings that apply to everyone in the workspace.

SettingWhat it affectsDefault
Do not show birthdaysTurned on, colleagues’ birthdays are left out of the celebrations widget on the dashboard. Work anniversaries are always shown.Off (birthdays are shown)
Standard Weekly HoursThe weekly working time of a full-time position. mTime uses it to work out each employee’s full-time equivalent (FTE). Between 1 and 168 hours.37 hours

Access & lifecycle

Who can sign in and how users are created, when the workspace goes live, and how long employee data is kept.

SettingWhat it affectsDefault
Auto-provision UsersCreates a user automatically when an employment starts, and removes it when the employment ends. Not available while the SCIM provisioning integration is turned on, or on a test workspace.Off
Test WorkspaceMarks the workspace as a test workspace. It is clearly labelled in the app, and test profiles become available. Turning it on also turns Auto-provision Users off.Off
Workspace Start DateThe date the workspace goes live. Nothing can be recorded before it. While it is empty, the workspace stays in draft.Empty (draft)
Employee Data Retention (years)How many years after an employee leaves their data is deleted automatically. 0 keeps employee data indefinitely.5
Allowed email domainsThe email domains your organisation owns. Used together with the single sign-on provider.Empty
Single sign-on providerThe only sign-in provider the workspace accepts (Microsoft, Google or Visma). No restriction accepts every sign-in method. No restriction

Auto-provision Users

When you turn it on, the Enable Automatic User Provisioning? dialog tells you how many current employees will be invited right away. Click Enable Auto-Provisioning to confirm. See Auto-provisioning for how the daily job works.

Test Workspace

A test workspace is meant for trying things out and for demos. It lets one sign-in have several test profiles. Automatic user provisioning is not available on a test workspace.

Workspace Start Date

Setting the date is what takes a workspace live, so mTime asks you to confirm in a Go live on …? dialog. Click Go live to confirm. From that date, mTime generates timesheet periods, reminders and accruals, and creates users.

On a workspace that is already live, changing the date asks Move the start date to …? instead; click Move start date to confirm. A live workspace’s start date can be moved but not cleared. See Going live.

Employee Data Retention (years)

Employees who have been gone longer than this are moved to the Recycle Bin and permanently deleted 30 days later. Clearing the field puts it back to the default of 5 years. See Employee data retention.

Single sign-on

Add at least one domain under Allowed email domains (type it and click Add ) before you choose a Single sign-on provider ; until then the provider can’t be chosen.

Choosing a provider signs everyone out, you included, and refuses every other way in — passwords, passkeys and mTime support staff you have added as users included. You confirm by typing the workspace name and clicking Restrict sign-in . Removing a domain while a provider is set asks for the same confirmation; adding a domain doesn’t. mTime won’t let you apply a restriction that would lock yourself out.

See Single sign-on before you turn it on.

Danger Zone

Only the owner sees this section. Delete Workspace permanently deletes the workspace and all its data. See Delete workspace.

Troubleshooting

IssueSolution
A setting is greyed out with a reason under itThe reason says what blocks it. For example, Auto-provision Users can’t be changed while SCIM provisioning is turned on or on a test workspace.
I can see the page but can’t change anythingYour role can only read the workspace settings. Ask the owner or a Workspace Administrator.
Auto-provision Users turned itself offThe workspace was marked as a test workspace, which turns it off.
A work country won’t go awayIt is still used by an employment or an org unit. Change those first.
The single sign-on provider can’t be chosenAdd at least one email domain first.
The Restrict sign-in button stays disabledType the workspace name exactly. If the dialog says the restriction would lock you out, sign in with that provider using an address at one of the domains first, or ask an administrator who does.
