Kiosks
Set up shared check-in/out devices that employees use with their badge.
Overview
A kiosk is a shared device — typically a tablet or a small screen at the entrance — where employees check in and out by holding their badge (FOB card) to a card reader. The device runs the mTime Kiosk app and signs in as the kiosk, not as a person, so nobody has to log in on it.
You manage kiosks under . The list shows each kiosk’s:
| Column | Shows |
|---|---|
| Kiosk Name | The name you gave it |
| Status | Pending until a device has been activated with the kiosk’s code, then Active |
| Last Seen | Active now (used in the last 5 minutes), Recently active (in the last hour), the date it was last used, or Never |
| Created | When the kiosk was added |
The Workspace Administrator and the Owner can add, change and remove kiosks. The Read-Only role can see the list.
How it works
- You add a kiosk in mTime. mTime shows a one-time activation code.
- On the device, you open the mTime Kiosk app and type in the code. The device is now signed in as that kiosk.
- Employees hold their badge to the reader. The kiosk shows their own screen with the actions available to them.
- After a few seconds without a touch, the kiosk goes back to its main screen, ready for the next person.
Add a kiosk
- Go to .
- Click Add Kiosk .
- Enter a Kiosk Name , for example the location of the device, and adjust the other settings if needed (see Configuration).
- Click Create .
The Kiosk Activation Code dialog opens. It shows:
- the activation code — 12 letters and digits, shown in groups of four, with a copy button,
- the address of the kiosk app to open on the device.
Activate the device
- On the device, open the kiosk app address shown in the dialog. It is your mTime address with
kiosk.in front of it. - Optionally, use Install App to install the kiosk as an app on the device, so it opens full screen.
- On the Kiosk Activation screen, type the code under Activation Code . Capitals and the dashes between groups are optional.
- Click Activate Kiosk .
The device opens the kiosk’s main screen, Employee Check-In/Out unless you set your own title. The kiosk’s status in mTime changes to Active .
The device stays signed in as the kiosk, also after a restart, for up to a year. After that it shows the activation screen again, and you give it a new code.
How employees identify themselves
Employees identify themselves with their badge. Connect a card reader to the device that types the card number like a keyboard (most USB badge readers work this way). When someone holds their card near the reader, the kiosk reads the number and opens that person’s screen.
The kiosk shows Ready to scan and Hold your FOB card near the scanner while it waits.
What employees can do
When an employee scans their badge, the kiosk shows a personal screen with a greeting, a short message and one button per available action — for example checking in or out. When someone arrives late or leaves early, the screen can offer a reason to choose. A cancel button closes the screen without doing anything.
After the employee taps an action, the kiosk confirms it and returns to the main screen. It also returns on its own after the Timeout (seconds) you configured, or when the employee taps Return to Main Screen .
To review check-in and check-out registrations afterwards, use the Check in/out report.
Configuration
Open a kiosk from the list (or use Edit in its row menu) to change its settings. Click Save when you are done. A running kiosk picks up the new settings the next time it returns to its main screen.
Basic Information
| Setting | What it does | Default |
|---|---|---|
| Kiosk Name | The kiosk’s name in mTime. 2 to 100 characters. | — |
| Development Mode | For testing a kiosk. Adds a field on the main screen where you can type an employee ID instead of scanning a badge (Or enter employee ID manually , Submit ID ), and a wrench button in the top-right corner that opens technical information. Keep it turned off on kiosks employees use. | Off |
| Test Card ID | Only shown when Development Mode is on. Scanning this card number plays through test scenarios — check in, check out, late arrival and early departure — so you can try the kiosk without a real employee. | Empty |
| Language | The language of the kiosk screens, as a language code: en, da, fr, it, nl, no or sv. If the code is not one mTime offers, the kiosk shows English. | en |
| Timeout (seconds) | How long an employee’s screen stays open without a touch before the kiosk returns to the main screen. 5 to 600 seconds. | 10 |
Theme Settings
Use these to make the kiosk match your company’s look. All are optional.
| Setting | What it does |
|---|---|
| Kiosk Title | The heading on the main screen. Empty shows Employee Check-In/Out . |
| Kiosk Subtitle | A line under the title, for example “Scan your card or enter your employee ID”. Empty shows no subtitle. |
| Primary Color | The main color of buttons and highlights, as a hex code such as #0066cc. |
| Secondary Color | The accent color, as a hex code. |
| Logo URL | The web address of an image shown at the top of the kiosk instead of the text name. |
| Background Image URL | The web address of an image shown behind the kiosk screens. |
The logo and background must be images published on the internet; you enter their address, you don’t upload them.
Get a new activation code
Use Regenerate Activation Code in a kiosk’s row menu when:
- the first code expired or was lost before the device was activated,
- you are replacing the device,
- the device should no longer be able to use the kiosk.
A new code is shown once, in the same dialog as when you added the kiosk, and is valid for 24 hours.
Remove a device
To take a device out of use, either:
- Revoke it but keep the kiosk: use Regenerate Activation Code and don’t use the new code. The old device is signed out at once. You can activate a replacement device later with a fresh code.
- Delete the kiosk: use Delete in the row menu and confirm in the Delete Kiosk dialog. The device stops working at once.
A deleted kiosk stays in the Recycle Bin for 30 days, where a Workspace Administrator can restore it.
Troubleshooting
| Issue | Solution |
|---|---|
| Invalid activation code on the device | Check the code for typing errors. A code works only once and only for 24 hours; if it was used or has expired, generate a new one with Regenerate Activation Code . |
| Too many attempts. Wait a minute and try again. | Activation allows 5 attempts per minute from the same network. Wait a minute. If you are activating many kiosks from one office network, pause briefly between devices. |
| The kiosk suddenly shows the activation screen | Someone generated a new code for the kiosk, the kiosk was deleted, or the device’s activation is more than a year old. Generate a new code and activate the device again. |
| The status stays Pending | No device has been activated with the current code yet. |
| Last Seen shows an old date | The device is switched off, offline, or no longer signed in. The kiosk shows No internet connection when it is offline. |
| Scanning a badge does nothing | Check that the card reader is connected and types into the device (test it in a text field elsewhere). The kiosk only reacts while its main screen is shown. |
| Employees see a manual ID field and a wrench button | Development Mode is on. Turn it off in the kiosk’s settings. |
| The kiosk shows the wrong language | Check the Language
code in the kiosk’s settings, for example da for Danish. |
